Polaris works inside your organization, not alongside it. We use your email domain, work in your files, and operate inside the systems your team already uses. You choose the support you need across Finance, HR & Payroll, Business Operations, and Marketing, and we become the team responsible for getting that work done.
Schedule a CallThere are plenty of consultants who can point out a broken process or recommend a new system. Polaris works differently. We become part of your day-to-day operation, take ownership of the work in our scope, and build systems that stay with your organization.
We work from your email domain, in your files, and inside your systems. To your staff, vendors, families, patrons, and partners, the work comes from your organization because we are operating as part of your team.
We don’t build your back office inside a Polaris inbox or a system you lose access to when our work ends. Your records, processes, and institutional knowledge stay with your organization. If you eventually bring a role in-house, the work is ready to hand off.
Your workload changes throughout the year. We build a flat monthly rate around the scope Polaris is responsible for, so normal seasonal highs and lows do not become surprise invoices or a reason to avoid asking for help. If the scope materially changes, we agree on that change first.
More than one Polaris team member knows your organization and the work we manage. Vacations, sick days, and staff changes should not bring payroll, reporting, campaigns, or recurring operations to a stop.
We have systems we know and trust, but we won't make you switch platforms simply to work with us. We learn what you already use, recommend changes when there is a real reason to make them, and help implement those changes when it makes sense.
There are parts of your organization Polaris should not own. Program design, artistic or educational decisions, camper or patron relationships, and the culture work your leaders are best positioned to do stay with your team.
We own the work behind that work: finance, payroll, HR administration, systems, vendors, recurring business operations, and marketing execution.
On marketing, we can build and manage the path that gets the right people to a conversation with your organization. Your team owns the relationship and closes it.
Some clients bring Polaris in for one area. Others use all four. We build the scope around the work your organization actually needs us to own.
When we review your budget, systems, vendors, or processes, we bring context from doing similar work across other organizations. That helps us spot costs that look unusual, processes creating unnecessary work, and systems that may be worth reconsidering.
Every client has multiple points of contact across the work Polaris manages. That creates continuity when someone is out and gives you access to more than one person's expertise. Because our team works across organizations with similar challenges, you also benefit from the patterns we see across budgets, systems, vendors, and processes. We share the patterns and lessons, never another client's confidential information.

The first steps look similar across engagements. What Polaris ends up owning is built around your organization, not a preset package.
We start with your organization, not a preset package. We'll talk through your team, systems, calendar, current pain points, and the work that keeps landing back on leadership.
We'll walk through the four areas Polaris can own and identify the right combination for your organization. You might need one module or several.
We'll send a proposed scope and flat monthly rate. Think of it as a first draft, not a take-it-or-leave-it package. We adjust the scope together until everyone is clear on what Polaris owns and what stays with your team.
Implementation typically takes one to three months, depending on your systems and how much cleanup is needed. We integrate into your workflows, address immediate priorities, document the processes we'll own, and then move into the regular rhythm of recurring support. For seasonal organizations, late summer and fall are often especially good times to begin.
Polaris tends to make sense when the back office has become too much for leadership to keep absorbing, but building several full-time internal departments still does not make sense.
Many Polaris clients operate with annual budgets in roughly this range.
Camp seasons, production cycles, enrollment periods, hiring waves, fundraising calendars, and other peaks create more complexity than a steady monthly workload suggests.
Finance, HR, operations, or marketing work keeps rolling back to the Executive Director, owner, or program leader.
You need expertise across several functions, but hiring a separate finance, payroll, operations, and marketing employee is not realistic.
You are past the point where another recommendation, software demo, or strategy document is enough. The work needs an owner.
Tell us what's consuming your team's time, what keeps falling through the cracks, and what you wish someone else could simply own. We'll help you determine what belongs with Polaris and what should stay with your team.
